Top Hats & Tails Volunteer Opportunities

Are you interested in getting involved with the planning of our largest annual fundraiser??!!

What is Top Hat & Tails???

Top Hat & Tails is a fun filled evening that begins with a cocktail hour that features appetizers from our restaurant partners, beer, wine and specialty drinks followed by a three-course meal and wine.  Every guest receives a "wag" bag.


The main feature is a dance competition based on ABC's "Dancing With The Stars".  Top Hat's version will have local amateur dancers paired with professionals from Arthur Murray Studios.  Our female competitors wear costumes worn on the TV show in past seasons.

The theme this year is the 70s or disco and the theme song is "Take a Chance on Me"

Sponsorships
  • Solicitation  - Contact past sponsors and new potential sponsors for their participation.
  • Logistics - Work with committed sponsors to get all of the items needed to fulfill their benefits.
Auction
  • Solicitation - Contact past and new donors for items for the live and silent auction.
  • Logistics - gather all donated items, plan deliveries of items to the museum and the delivery of items not picked up at the event.
  • Setup - Coordinate the setup of the auction at the museum.
  • Volunteers - Schedule the volunteers for the setup, event, and closing out the area at the end of the evening.
  • Greater Giving - Record all items in Greater Giving, create bid sheets, and supply data for program.
Decor
  • Planning - Assembly of components of the table decor, stage, and auction space prior to event.
  • Setup - Place items at the event
  • Breakdown - Separate items to be saved and those to be trashed at the end of the evening.
Wag Bags
  • Gather items from event sponsors and solicit for additional items.  Coordinate volunteers to stuff wag bags at the museum.

Volunteers
  • Recruit volunteers
  • Work with various committees as to their needs for the event weekend
  • Manage volunteers during the setup, event, and breakdown.

Check-in/Check-out
  • Work with Greater Giving to create data base for check-in
  • Check in guests as they arrive
  • Check out and process payment for the winning bidders from the silent and live auction.
Print 
  • Invitations Design - Work with Chairs to create a camera-ready invitation for the event.
  • Invitation mailing - Plan and oversee the stuffing and mailing of invitations.
  • Program - Work with Sponsor Committee Chairs and Event Chairs to create a camera-ready program for the event.
